Train Facilities teams prior to the opening of each new center to ensure that job roles and expectations are clearly defined
Seamless execution and ensuring on–going delivery of all key operations metrics across communities
Plan and implement quality parameters in service areas in line with CoWrks standard to improve services and ensure highest level of community service at all times.
Resolve all center related issues efficiently
Develop SOPs and training modules to ensure that Service Levels are upheld
Review weekly inventory reports for consumables and operating supplies. Propose reorder quantities for the following week
Ensure that consumables / operating supplies cost is mitigated
Coordinate with the design team of CoWrks to ensure consistency with CoWrks Design Intent across all locations of CoWrks
Coordinate with Project Management Consultants and ensure project schedule, timelines and deliverables are as per PMC contract
Building relationships with landlords, property managers as well as billing and legal point of contacts.
Securing Property Management contracts with Landlords / Developers
Management of Payments for Facilities and creating aging reports
Real Estate – Competition mapping, importance of the location, social infrastructure and residential catchment of the location.
Level 1 training for all systems & processes and across different operating system
Projection of number and type of staff for each location.
PURCHASE,INVENTORY & VENDOR MANAGEMENT:
Coordination with Procurement/Ops team for correct inputs and create purchase requests in a timely
Liaise & Co-ordinate with the Purchase team to ensure that the Purchase orders are released as per the SOP.
Ensure no stock out situation in the centres.
Co-odinate with vendors to get primary quotes
Ensure that the invoices of all the vendors are processed on time.
RECRUITMENT:
Projection of number and type of staff for each location
Identifying different verticals for sourcing of Community Teams based on the location of the center
Supporting the Talent Team in identifying candidates for Facilities, Marketing, Events and Finance for each location.
Drafting job roles for center specific staff
FACILITIES:
Ensure that SLAs for outsourced vendor contracts are being adhered to
Review Incident Reports to implement sustainable solutions – that will ensure that the repetition of the incident is avoided
Review weekly and monthly expense reports to ensure that operational expenditure is optimized
Disseminate SOP / SLA / Process updates and ensure that all housekeeping, facilities, multi-skilled technicians, security and community teams have imbibed / implemented these updates
Review Attendance Reports & Training Reports to ensure that Service Levels are not compromised due to lack of attendance or lack of training / information dissemination
Ensuring all the documents & approvals are in place as per the compliance requirements
Regular checking of the HVAC,FAPA & CCTV systems.
Preferred qualifications
Qualification: Graduation/MBA
Experience : 5 Years +
